Security in business telephony: 5 simple habits for every business

Written by VOICELAND team | Oct 15, 2026, 8:00:00 AM

When we think about a company’s cybersecurity, our minds usually turn to passwords, antivirus software, and firewalls. However, there is one area that is often overlooked, even though it serves as the primary gateway to the outside world: business telephony.
With the shift to the cloud, phone systems are no longer just devices in the office, but software connected to the internet. This offers flexibility, but it also requires responsibility. Protecting yourself from eavesdropping and fraudulent charges doesn’t require specialized knowledge,  just the right habits.

Let’s look at 5 simple, everyday habits you can adopt to safeguard your phone communications.

1. Change Default Passwords

It seems obvious, yet it remains the No. 1 cause of breaches. Many IP phones or admin portals come from the manufacturer with factory-set passwords (e.g., admin/admin or 1234).

  • Best practice: Upon initial installation, change all default passwords for administrators and users. Use strong passphrases (a combination of letters, numbers, and symbols) and enable two-factor authentication (2FA) where supported.

2. Managing Permissions & Deactivating Inactive Accounts

In a business, roles change and employees leave. If a former employee still has access to the cloud-based call center or the softphone on their mobile device, the business remains vulnerable to potential data breaches.

  • Best practice: Implement the “least privilege” principle. Each employee should have access only to the functions they need for their job. In addition, incorporate the immediate revocation of company phone credentials into the employee offboarding process.

3. Restriction and Monitoring of International Calls

So-called “toll fraud” (international call fraud) occurs when malicious third parties gain access to your telephone system and make thousands of calls to high-cost international destinations within a few hours, causing enormous financial losses.

  • Best practice: If your business doesn’t make international calls, “lock down” international calling on your Cloud PBX. If you only make calls to specific countries, allow access exclusively to those destinations and set credit limits with your provider.

4. Keep software and devices up to date

Whether you use physical IP phones or softphones on computers and smartphones, their software (firmware/apps) requires regular updates. These updates not only introduce new features but also fix security vulnerabilities.

  • Best practice: Don't put off updates. Enable automatic updates for your telephony apps and make sure your devices are always running the latest software version provided by the manufacturer.

5. Training the Team to Counter Social Engineering

Technology can protect the network, but the “weak link” is often the human factor. Through tactics such as Vishing (Voice Phishing), scammers call pretending to be technicians, bank representatives, or business partners to extract sensitive information or passwords.

  • Best practice: Train your team never to disclose passwords, sensitive customer personal data, or internal network information over the phone. Establish a clear verification protocol for when an unknown caller requests sensitive information.

Example: When negligence leads to financial loss

A small-to-medium-sized company stored its factory codes in the cloud-based call center. One weekend, malicious bots exploited the security vulnerability, gained access to the system, and made hundreds of calls to high-cost destinations in Asia and Africa.
The result? An exorbitant phone bill on Monday morning and serious disruption to business operations. A scenario that could have been completely avoided with a simple PIN change and proper call restrictions.
